A practical guide to PayPal costs

Published by HitEquals Editorial · Reviewed October 7, 2026 · How we check calculators

Follow the money through each step

A freelancer may receive an invoice payment, convert the remaining balance and then transfer it to a bank. A seller may receive a sale and later refund part of it. These paths have different cost components, so an all-purpose percentage can hide the amount that matters.

Build a short ledger: gross receipt, payment fee, amount available to convert, converted balance, withdrawal fee and final bank receipt. Use the output from one stage as the input to the next. A fee paid in dollars cannot be subtracted directly from a euro balance.

  1. Payment: gross → processing fee → net
  2. Conversion: remaining balance × final quoted rate
  3. Withdrawal: transfer amount − withdrawal fee

Receiving a sale or getting paid for an invoice

The receiving account's market, the actual payment product and the payment currency are the starting facts. A payment through PayPal Checkout, a standard card, Advanced cards or a domestic invoice paid by bank should not be treated as interchangeable. The PayPal fee calculator names those routes and shows its chosen schedule.

If you need to receive a specific amount, choose the target-net mode. The inverse calculation checks the rounded fee on the gross amount instead of simply adding the percentage to your target. For several equal orders, use the payment count to apply the fixed charge per transaction.

Getting paid by an international client

Identify the payer and receiving-account markets independently from the currencies. Two accounts in different markets can transact in USD; that does not make the payment domestic. If the amount is later exchanged into another currency, that is a second event.

Select the correct payer market in Payment details. For a market or agreement without a verified preset, enter a current custom schedule. Do not take a US account's quoted fee and apply it to a receiving account elsewhere simply because the receipt is in dollars.

Comparing a currency-conversion quote

Record the final rate shown for the amount and currencies you plan to exchange. The conversion comparison uses destination units per one source unit, so dollars to euros and euros to dollars require opposite directions.

Compare quotes for the same amount and timing, with separate charges included once. The tool's starting rates are hypothetical examples. A comparison rate is not a promise of an available retail offer, and the final quoted rate may already include conversion pricing.

Moving a PayPal balance to a bank or card

A payment fee and a withdrawal fee happen at different stages. Enter the balance you are actually transferring into the withdrawal calculator. It shows whether the percentage, minimum or maximum determines the modeled fee.

The reference withdrawal routes are labeled US personal account. Business accounts and other countries need their own schedule. A fee cap is a ceiling on the charge, while a transfer limit restricts the amount you can move; a calculator result does not verify available account limits or arrival time.

Refunding a customer and handling retained fees

For a voluntary refund, use the original receipt's fee in the refund calculator. It distinguishes cash still retained from extra funding needed. For multiple partial refunds on one payment, enter the cumulative refunded principal and count the original fee once.

A dispute or chargeback is a different process. This collection does not determine protection eligibility, resolve a case, calculate lending or Pay Later interest, or certify a merchant's profit. Product costs, taxes and shipping remain separate accounting entries.

Check the receipt before relying on an estimate

  • Confirm the receiving account's country and the actual payment product.
  • Keep the receipt's original gross amount, fee and currency together.
  • Check whether an exchange rate already includes its conversion pricing.
  • Use the remaining balance, rather than the original gross, at each next stage.
  • Compare the dated reference with your current quote or agreement.

These tools request calculation amounts and assumptions only. No customer identifiers or PayPal credentials are required. Optional favorites and the calculation tape stay on your device; shared links include the entered assumptions, so review a link before sharing it.

Frequently asked questions

Which PayPal calculator should I start with?

For a sale or invoice, start with the fee calculator. For an existing balance, choose currency conversion or withdrawal. For a returned sale, use the refund calculator with the fee on the original receipt.

Is an international payment the same as currency conversion?

No. International processing depends on the account markets; conversion depends on the currency exchange. A payment can involve one, both or neither. Keep those stages separate in your ledger.

Are invoice fees different from checkout fees?

The payment product used by the customer matters. The fee calculator distinguishes invoice payments made using PayPal, standard cards, Pay Later and the supported domestic US invoice ACH route.

Do these tools access my PayPal account?

No. Calculations run in your browser using the entered amounts and assumptions. No PayPal login, customer name or bank details are needed. The optional tape and favorites are stored on this device.

Are the reference fees valid worldwide?

No. The payment presets are scoped to US and Canadian receiving accounts, and withdrawal references are for US personal accounts. Choose a custom quote for another account, market or agreement.

Can a calculator guarantee the amount that arrives?

No. Eligibility, the final quote, timing, exchange rates, bank costs and account terms can change the outcome. The tools make the arithmetic inspectable; the transaction screen and receipt establish the actual charge.
