Use the actual fee from the original receipt

Do not calculate today's percentage on an old transaction when you already have its receipt. The actual receiving fee may reflect another product, currency, international component or agreement. Enter that original fee directly.

The original payment and refund must share a currency in this ledger. If the refund uses another conversion, document that cost separately rather than mixing units inside the original-payment calculation.

Distinguish a refund from returning processing fees

The US commercial-payment and invoice refund policy does not charge to issue a full or partial refund, but does not return the original receiving fee. The default fee-credit input is therefore zero. Enter a credit only if your actual transaction records confirm one.

The calculator does not issue a refund, determine eligibility or change a PayPal balance. It shows the cash arithmetic for the amounts entered.

Reproduce a full refund

A USD 100 payment with a USD 3.98 original fee initially contributes USD 96.02 cash. Refunding USD 100 while retaining the original fee leaves 100 − 100 − 3.98 = −3.98.

That negative result is a transaction-level funding gap. Another balance or funding source may cover it, so it is not a claim that your entire account is negative. The breakdown shows the additional funding separately.

Reproduce a partial refund

If the same payment is refunded by USD 40, the remaining transaction cash is 100 − 40 − 3.98 = USD 56.02. The original processing charge is still the entered USD 3.98; it is not reduced to a proportional fee on the unrefunded portion.

For several refunds on one original payment, enter their cumulative refunded principal. Do not subtract the original processing fee again for every refund. The combined refund cannot exceed the original gross payment.

Keep cash retained separate from profit

Payment cash retained does not include the cost of goods, service delivery, returned shipping, restocking, sales tax or bookkeeping adjustments. Those can matter to the actual profit or loss on a refunded sale.

For example, USD 56.02 retained after a partial refund is a receipt figure. It does not establish whether a merchant earned a margin. Reconcile this ledger with the original sale and return records.

Check disputes and exchange differences separately

A voluntary refund and a dispute or card chargeback have different procedures and possible costs. This tool does not model dispute fees, Seller Protection eligibility or a case outcome. Obtain the applicable records before extending the ledger.

Likewise, an exchange-rate difference can affect the funding required when currencies change between receipt and refund. The same-currency model stays transparent by leaving that separate event outside its formula.

Frequently asked questions

Does a full refund return the original PayPal fee?

Under the cited US commercial and invoice refund policy, the original receiving fee is retained. Use a confirmed fee credit only if it appears in your own records.

Why is the full-refund result negative?

You received the gross amount less fees but are refunding the gross principal. The difference is the original fee that was not credited.

Does a partial refund reduce the original fee proportionally?

This ledger keeps the full original fee unless you enter an actual confirmed credit. It does not invent a proportional fee return.

Can I enter more than one partial refund?

Enter their cumulative principal against the same original payment. Keep the original fee once and stay within the original gross payment.

Is cash retained my profit?

No. It is transaction cash after principal and processing adjustments. Product costs, tax, shipping and other expenses are outside this model.

Does this calculate chargeback costs?

No. Disputes and chargebacks need their own applicable fees and case records; the voluntary-refund calculation does not determine them.

What to keep in mind

US commercial and invoice refund references retain the original receiving fee and do not add a fee to issue the refund. Use actual original fees and confirmed credits. This is payment cash flow, not business profit or a dispute/chargeback calculation.

Results use the selected currency: cents for most currencies, whole units for JPY and CLP. Processing fees are rounded per payment. CSV exports include the entered assumptions and the calculation breakdown. This is a calculation summary, not an official certificate.
